What is Smart Office?

Smart AC is a type of AC that is equipped with special sensors, so it is able to adjust the temperature according to conditions in the office independently. This means, when the office room is hot, the AC temperature will automatically decrease, and vice versa.

2. Smart lamp

Just like smart ACs, smart lamps are also specially designed so that they can adjust the lighting capacity of a room to the conditions of that room. Apart from smart lamps and smart AC, several smart offices abroad are also equipped with window curtains that can open and close themselves simultaneously according to the temperature in the office room. 

3. Smart Conference Room

An office building generally has more than one meeting room or conference room consisting of various sizes. This meeting room is also equipped with various necessary electronic equipment, such as LCD projectors and televisions. In the smart office concept, employees can book the room via the application according to their needs. 

4. Smart locking system

The smart office is also equipped with a smart locking system. The implementation can vary, from using digital cards to log in, passwords, to verifying biometric data. Thus, people other than your office employees will not be able to enter the office area, unless they have registered as guests with customer service in the lobby. 

5. Real-time monitoring

One of the characteristics of a smart office is that you can monitor and control conditions in your office using just one application. This application can be used to adjust the temperature of the AC, lights, movement of window curtains, and even CCTV. This way, when the office is not in use, you can immediately turn off electronic equipment in the office. 

6. Fire detection system

Smart offices can also be equipped with a fire detection system to detect a fire the first time. In a smart office, this system will immediately activate and make a fire alarm sound if a fire is found at a certain point. This way, all office occupants can be evacuated first. 

At the same time, this system will also automatically turn off the AC, lights and other electrical equipment and turn on sensor-based fire extinguishers. In this way, damage and losses that can occur due to fire can be minimized.

This smart office concept can also be applied on a smaller scale, such as using video conferencing for meetings, digital applications for attendance, to Google Workspace or similar applications for collaboration between employees.

Many companies in Indonesia have implemented this smart office technology. One of them is PT Moda Jabodetabek Transportation Integration. On its official YouTube page , this transportation company states that its office has implemented a smart office system, namely by:

  • Face recognition and special technology are used when employees enter the room. 
  • Use the application to book a meeting room online and use a QR code to enter the meeting room. 
  • Use of video conferencing. 
  • Use of digital documents in everyday life. This includes the use of digital signatures to authenticate certain documents. 

Benefits of Transitioning from a Conventional Office to a Smart Office

Here are some of the benefits of a smart office:

1. Practical

With AC and lights that can adjust the room temperature automatically, employees don't need to move from their cubicles just to reduce the AC temperature or turn off the lights. Likewise, at night, the AC and lights can also be turned off using just one application. This way, the security team doesn't need to frequently check whether the electronic device has been turned off or not. 

2. Save costs and energy

Using a smart office can also reduce the potential operational costs that you have to bear. This is because both the AC and lights can be turned off remotely using the application without waiting for an employee to turn off the two electronic devices. Not to mention that the sensors in both of them will also automatically lower the temperature of the AC and the light when it is not really needed.
